How do I accept payments on-site with the Eventfrog Cashless app?

With the Eventfrog Cashless app, you accept cashless payments at your event directly on your smartphone. This article shows you step by step how to accept payments on-site.

Requirements

To accept payments with the Cashless app, the following requirements must be met:

  • Your event is published
  • Your smartphone has an internet connection
  • Your device supports Tap to Pay

Log in to the app or connect a device

After opening the app, you can start in two ways:

Log in

If you are the event organiser, manager or assistant for the event, log in with your email address and password.

Connect a device

If you are accepting payments as a helper, you can connect your device to a device that has already been set up. This automatically applies the event and point of sale.

Select event and point of sale

After logging in, first select an event.

Then select the right point of sale, for example:

  • Bar
  • Cloakroom
  • Merchandise
  • Box office

Only active points of sale assigned to the selected event are shown. The default point of sale is already preselected.

Add products or enter an amount

Once the event and point of sale have been selected, you can start recording payments.

You have two options:

Products

If products are assigned to your point of sale, you can tap them. They are automatically added to the basket.

Calculator

If you want to work without predefined products, you can enter an amount manually and add it to the basket.

This is useful for:

  • custom amounts
  • spontaneous additional sales
  • individual payment amounts

Select payment method

As soon as there is an amount in the basket, you can proceed to checkout.

Depending on the country and settings, the following payment methods are available:

  • Credit card / debit card
  • Apple Pay
  • Google Pay
  • TWINT
  • Cash

If only one payment method is available, this step is skipped.

Add a tip

If the tip function is activated, a tip screen appears before payment.

Visitors can:

  • choose a suggested tip option
  • enter their own amount
  • or continue without adding a tip

The tip is automatically added to the transaction.

Complete the payment

After selecting the payment method, the payment process starts.

For card payments or mobile payments, the person paying holds their card or device directly against the smartphone.

  • Android devices: The NFC sensor is almost always located in the centre of the back of the device, often level with or just below the camera.
  • iPhones: On Apple devices, the NFC chip is usually located at the top on the back of the device, near the camera lens.

After the payment, the app shows whether the payment was successful.

If the payment is successful

The app shows a confirmation. You can then move straight on to the next order.

If the payment fails

The app informs you that the payment was not successful. You can then try again or cancel the process.

Show or send a receipt

After a successful payment, you can show or send a receipt.

There are two options:

  • Scan QR code: The receipt can be opened directly on the smartphone of the person paying
  • Send receipt by email: The receipt is sent as a PDF to the email address entered

View transactions

In the app, you can find the latest transactions carried out with this device in the «Transactions» section.

There you can see, among other things:

  • time
  • amount
  • status
  • payment method
  • receipt

This allows you to quickly check whether a payment was successful.

Important information

No internet connection

If there is no internet connection, the app cannot connect to the server. In this case, a message appears in the app.

App used outside the event period

If you want to accept payments outside the event period, you need to confirm this in the app.

Event already invoiced

No further payments can be accepted for events where the payout has already been triggered or the event has already been invoiced.

Opening the app again

If the app is closed and opened again later, you remain logged in. The event and point of sale are loaded again.
